Global provider of Technology and Engineering services within Oil and Gas industry are looking for an Event Coordinator to join them on a 6 month temp contract.
Based out of their Victoria office, you will be tasked with overseeing the planning and execution of in person corporate events and trade shows in the UK and abroad. You will own the entire delivery of the event from choosing venues to deciding on success metrics.
What you'll do:
- Develop a complete understanding of the requirements for every event and trade show
- Research vendors and make selections based on their creativity, quality, and cost
- Attendee management and logistics for participants, including rooming lists, transportation bookings, customer support, F&B management.
- Oversee administrative processes such as contracts, payments to suppliers, internal approvals and reporting
- Develop content for event materials and work with graphic designer to produce
- Handle day-to-day of events and programs, including order placements, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution
- Liaise with internal and external stakeholders for planning, execution and participation
- Collaborate with team and cross functional partners to develop individual 360 strategies for each trade show and event.
- Project Manage details that support timeline and keep deliverables on track
- Oversee marketing and creative elements including messaging and imagery
- Lead on-site event end-to-end
What you'll need:
- Experience in event planning or event coordination in a corporate environment
- Proven track record of creative, successful events
- Excellent organizational, communication, negotiating, and multitasking skills
- Ability to remain calm under pressure and maintain a customer-service mindset
- Bachelor's degree in marketing or communications discipline
- 3+ years of experience in event management with leading physical and virtual tradeshows, conferences in business-to-business environments.
- Hands-on corporate event planning and logistics experience, ideally within the technology or energy industries.
- Self-starter and problem solver
- Strong project management skills, attention to details to support success and efficiency
- Strong ability in MS Powerpoint and MS Excel
Salary range for the position is £30-35k (pro rata) and initial assignment length is 6 months. Working model is 50% hybrid with 2-3 days per week on site in Vitoria.
